Digitize Records

Every office generates physical content – whether it is as simple as a printed email or as complex as a CT-Scan you have the same essential issue.

Physical content comes in many forms. No matter what the source, we can help you manage, dispose, and digitize physical records in a manner that is consistent with your larger information management strategy.

What is your long term storage plan for each type of content?

As part of a larger information management strategy, physical records are an important piece to the puzzle.

We can help you through the process of defining and refining the role of physical records as part of the information management strategy services that we offer. Since we can implement the technology, we can ensure that management of physical records is aligned with your electronic management strategy.

For some organizations, the digitization process may be a future project; for many organizations, there will be records that simply cannot be digitized.

Through our partnership with Infolinx, we can help you manage, track, and dispose of your physical records. For many organizations, this is the best way to transfer records management practices and retention schedules from paper to digital.

Going Paperless is a Process, not a Decision

The move to a paperless process and a larger digital working environment will require making some of your physical records available digitally.

The key to the decision that you need to make as you start the move from paper to paperless is which physical records best enable your move to paperless.

How are you actually going to get started?

Defining a starting point for digitizing your information sources is complex. You need to understand the value of the information contained in the physical records and balance the effort and cost of digitizing the record itself. We can help you define the value of your physical records and design the processes and timeline to ensure that the move to digital records is cost-effective.

There are two options to getting started:

  1. Scan the documents yourself, which requires trained staff, time, and the right equipment.
  2. Have the documents scanned for you. ThinkDox owns and operates its own conversion facility. We scan and index your documents to your specifications, often for less money than it would cost to do it yourself.

The added benefit for using our conversion facility is that we can ensure that your classification scheme matches the schema being developed for you ECM and archiving products. When the digitization is paired with an ECM or archiving implementation, we can add the content to the system, saving you time and effort.

When you partner with us to achieve your complete EIM vision, we can build a complete roadmap – not just puzzle pieces that you have to put together later.

Storing and Restoring Images and Legacy Archive Types

In addition to moving to a paperless office, many organizations have legacy archive types such as microfiche, microfilm, aperture cards, and certain back-up tape types that become unusable as they deteriorate.

Fortunately, ThinkDox can convert any of these physical record types to a digital format, allowing you to search for the information you need instantly instead of investing in legacy technology. As part of our process, we perform quality checks and when necessary can perform manual cleaning, duplication, or image cropping.
